Frequently Asked Questions

What is the truck event fee?

The truck event fee covers the cost of labor, permit fees, utilities, travel time, set up, breakdown time, etc.

How & when will I be charged?

A 50% deposit is due at the time of booking to reserve your date. After your event, we’ll send a final invoice based on the actual number of servings and any additional truck time, minus your deposit. Payment is due upon receipt.

To cover preparation and staffing costs, there is a minimum charge of 75% of your estimated servings. For example, if you plan for 100 guests but only 50 servings are scooped, you will be billed for 75 servings.

What is the cancellation policy?

Your deposit refund depends on when we receive your cancellation notice:

  • More than 7 days before your event: Full refund
  • 2–7 days before your event: 50% refund
  • Less than 2 days before your event: No refund

Cancellations must be emailed to events@wscreamery.com. Refund timing is based on the calendar day we receive your email. No refunds will be issued after the event has started.

Can I change the time of my event once booked?

We will do our best to accommodate any changes that occur but at times we may not be able to based on other bookings. If you are unable to complete your booked event due to a time change request, the cancellation policy protocol will apply.

What if my event location is more than 10 miles from West Side Creamery?

Due to the high cost of labor and gas we would need to charge additional for events further than 10 miles. The exact price will be given to you at the time of booking.

How much time do I need to rent the truck for?

The minimum truck rental is for one hour. If you have 75 persons or less we should be able to serve everyone within an hour period. If you have more than 75 persons additional truck rental time will be needed. Additional truck time is billed in ½ hour increments. Exact truck rental fees will be given at the time of booking.

Is there a gratuity charge?

We do not automatically add a gratuity charge; but if you feel that your servers went above and beyond to make your event special, you will have the option to leave a gratuity when paying your invoice. Any tip left will go directly to the servers at your event.
